Drop-Off and Pick-Up Policy

Purpose

The International Wing Chun Academy is committed to ensuring that children are safely and responsibly dropped off and picked up from their scheduled classes.

This policy outlines the responsibilities of parents, legal guardians, and their nominated Authorised Person(s) regarding the drop-off and pick-up of children.

Scope

This policy applies to all children under the age of 18 who participate in classes at the Academy, as well as their parent(s), legal guardian(s), and Authorised Person(s) as nominated under this policy.

1. Drop-Off Policy

As the parent or legal guardian of a child under the age of 12, you must ensure that:

They arrive no earlier than ten minutes before their scheduled class time.
They are escorted into the premises by a responsible adult, who must accompany them until the class starts.
They check in with the Branch Leader upon arrival.
They behave appropriately while waiting for the class to start.

2. Pick-Up Policy

Children under the age of 12 must be collected by one of the following people:

A parent or legal guardian
An Authorised Person appointed by their parent or legal guardian

A legal guardian is someone who the Children's Court has officially appointed under a 'guardianship order'. If you intend for a friend or family member to collect your child, you must nominate them as an Authorised Person.

Authorised Persons

As the child's parent or legal guardian, you may nominate up to three responsible adults as Authorised Persons by emailing the Academy the following information at least one week in advance:

The Authorised Person's name
The Authorised Person's mobile number
The Authorised Person's relationship to the child

Responsibilities of Parents and Legal Guardians

As the child's parent or legal guardian, it is your responsibility to:

Advise the Academy by email of any changes to the Authorised Person(s) and Emergency Contact at least one week in advance.
Ensure that the person collecting your child arrives no later than five minutes before the end of your child's class.
Ensure that the person collecting your child promptly collects them at the end of their class and reports to the Branch Leader, who will confirm their identity before their departure.
Instruct your child not to leave the premises without being escorted by the person you have nominated to collect them.
Ensure that your child behaves appropriately while waiting to be collected.
Notify the Academy if the person collecting your child is running late.

Late Pick-Up Fees

If you, a parent, legal guardian, or an Authorised Person, do not collect your child immediately at the end of their class, it will be deemed a late pick-up.

After the first ten-minute grace period, you consent to us charging a Late Pick-Up Fee to your account of $10 at the start of each ten-minute interval. For example, if the class ends at 1:20 PM, the following fees will apply:

1:30 PM pick-up: $10 fee
1:35 PM pick-up: $10 fee
1:40 PM pick-up: $20 fee

The Branch Leader shall, at their sole discretion, determine the collection time at the moment that you, a parent, legal guardian, or Authorised Person, collect your child and report to them in person.

You must pay all Late Pick-Up Fees before your child attends their next class.

Extraordinary and Repeated Late Pick-Ups

If you, a parent, legal guardian, or an Authorised Person, do not collect your child within 20 minutes of the end of their class, the Academy will attempt to contact the child's Emergency Contact or other nominated Authorised Person(s).

Repeated late pick-ups may result in the temporary suspension of your child's membership for up to eight weeks until you confirm that appropriate collection arrangements have been made.

3. Independent Arrival and Departure Policy

If your child is 12 years of age or older, as their parent or legal guardian, you:

Consent to them arriving at or leaving the Academy's premises by themselves.
Must ensure that they arrive on time for class and remain for the entire duration.
Acknowledge that the Academy is not responsible for their safety or welfare outside its premises.

4. Disclaimer of Liability

To the maximum extent permitted by law, the Academy, its staff, trainers and volunteers disclaim all liability for any loss, damage, injury or incident occurring:

Before the scheduled start time of your child's class;
After the scheduled end time of your child's class;
Where a parent, legal guardian, or Authorised Person is in breach of this policy; or
As a result of your child leaving the premises without appropriate supervision.

5. Acknowledgement and Acceptance

By enrolling your child at the Academy and maintaining their enrolment, you confirm that you have read, understood, and agree to comply with this Drop-Off and Pick-Up Policy.
